SUBMISSION WORKFLOW

SINGLE EDIT

what should I send?

Images
A wide selection of images, possibly all you have shot on the subject apart from the most obvious mistakes. With "wide selection" I mean between 300 and 1000 pics (not more than that). If you have less than 300 send me what you have.
The most important thing to remember here is: please! don’t do the edit yourself before submitting! Don’t be shy and send all that you have, my job is precisely to find images that you would otherwise discard!
On the other hand, if you have 20.000 pictures, then well, yes, you will have to do some edit yourself... 1000 pictures max are normally more than enough.
If you are submitting for a Portfolio Edit (the “best of your work”, this is) the same applies. In both cases, please put ALL pictures in 1 single folder!

Texts
All information relative to the MEANING; an intro text, if you have it (edits for web), or an abstract (exhibitions and contests). If you don’t have any of these things, or if you are submitting for a Portfolio Edit (the “best of your work”), just write me a few lines in your own words about what you would like to communicate/achieve.
Please name the files in a way that I can understand what they are about (“exhibition abstract”, “intro text” etc). This description will be just for you and me, don’t worry to polish it too much.

Other info
All relevant material and information about the FINAL OUTPUT such as:
·       links to web galleries with the same layout you’ll use (edits for web)
·       a link or a document with the contest’s rules (contests and grants)
·       other info relative to the exhibition, if you have them (exhibitions)

how should I prepare the material?

Images
Non-processed files (non retouched with postproduction, this is) are perfectly fine. If all of them are already processed, it will be fine too, of course.

In any case, please always prepare the images as follows:
format:              JPGS only (no Tiff, Raw, Psd or other formats, please)
resolution:        1000px - longer side
color profile:     sRGB

For processing all images at once you can easily do it with a batch action in Photoshop or (even easier!) from the Export panel in Lightroom, see image here below:

Texts
Please name the files in a way that I can understand what they are about (“exhibition abstract”, “intro text” etc). Again, the texts are just for me to have an idea of what the project is about, I normally gather most information from the images themselves.
Word, Text Edit, Pages or Pdf format, whatever comes easier for you.

how should I send my material?

Once you have everything ready, put everything in one single folder and then compress it as a .zip file. Then send the whole folder in one go via WeTransfer to my e-mail address: hello@raffaelalepanto.com. Please don't use other external softwares for compressing or sending the folder, this ^ is the safest and quicker way for me to receive your material.

If your folder is heavier than 2GB it means that you haven’t resized the pictures OR you are trying to send me raws or tiffs OR you have lots of material, in which last case please divide it into different zip folders max 2GB each.

WEB EDIT

what should I send?

Images
The Web Edit service includes the full Photo Editing and Sequencing of all your projects (up to 10 projects) + homepage portfolio (if you have/want one). Please send me a wide selection of images per project (max 300 images each), possibly all you have shot on the subject apart from the most obvious mistakes. The most important thing to remember here is: please! don’t do the edit yourself before submitting! Don’t be shy and send all that you have, my job is precisely to find images that you would otherwise discard! On the other hand, if you have 20.000 pictures, then well, yes, you will have to do some edit yourself.

Please send all projects in one single “Projects” folder, with each project titled in a separate folder inside.

Texts
The intro texts to your projects, if you have them. You can include them in the relative project's folder.

About and Contacts pages
Please send me:

  • Your Bio, even if it’s short, or your vision, as you wish.

  • Contacts to be entered on the website (telephone, e-mail, skype etc.)

NEW WEBSITE

what should I send?

Images
The New Website service includes the full Photo Editing and Sequencing of all your projects (up to 10 projects) + homepage portfolio (if you have/want one).
Please send me a wide selection of images per project (max 300 images each), possibly all you have shot on the subject apart from the most obvious mistakes.

Don’t be shy and send all that you have, my job is precisely to find images that you would otherwise discard! About and Contacts pages
Please send me:

  • Your Bio, even if it’s short, or your vision, as you wish.
  • Exhibitions: if you have ever exhibited your work it’s a good idea to let your public know about it! Please send me un updated list indicating for each exhibition : date - title - location - solo/group exhibition - curator’s name (if there was one).
  • Your profile photo in high res (1500 px longest side)
  • Contacts to be entered on the website (telephone, e-mail, skype etc.)
  • Your Business Name and physical address (only for site development, if you want to indicate your studio physical address also on the website just let me know.)
  • Your Logo, if you have one:  a high res jpg will be fine.
If you don’t have a logo, don’t worry: simple, stylish fonts instead of logos are the new black, and one that is going to stay. The choice/suggestion of the newest fonts is included in the New Website package.
  • Links and access to social media (if you want them as icons, I will need your access data to login, if you just need them as links items-  such as “INSTAGRAM” etc -  I will just need the exact link)
  • Privacy Policy: if you have a Privacy Policy - possibly one that is updated to the new GDPR standards - please send it along. If you are panicking on how to update it, you can find a good guide here.

You can put all this material in a single "About" folder.

Media
If you have ever published something, either online or on print, it’s very important to use these publications on your website as a “credibility” element.
Depending on what type of material you have, we can either add a simple list with links in your about page or - even better - we can create a separate Media item on your menu, publishing images and content. In any case, please send me all you have: screenshots, pdfs, titles, texts, jpgs… I will sort out all this material for you.

You can include all this material in a single “Media” folder.

Shops
If you are planning to create /add an e-commerce to your website, we will have talked about this in our intro chat already:

  • for Prints, I will select the best images for you and will create a “sample “ description for them. If you already have a specific description (paper /size/ edition type/ other details) for your prints, please send it along with the rest and I will use that one. Similarly, a sample contract (Terms of Service) for your prints is included in the Shop service, but of course if you have one already, please send it and I will use yours.

  • for Books, the best way to entice your public to buy them is to give your public some sort of "Look Inside" option (think Amazon!), so the optimal would be sending me the whole book's pdf from which I can extract some pages. If you don’t have the pdfs, I will use some of your images instead.
For Books, contracts can vary a lot, so I don’t normally provide one; if you already have one though, just send it and I will include it on the website.

In any case, please bear in mind that for selling products you will need an active Paypal or Stripe account. For Paypal, you will need a Business account - not a Personal one.
For Privacy reasons, I won't ask you your login data, so I won't be able to connect your website to your payment platforms but I will show you how to. (very easy!)

Web Domain
Either you are changing your current website and want to keep your current domain name or you are creating a website for the first time, I can transfer/connect for you any domain name to your new website but in all cases I'll need you to provide me with the access to your domain account. Your domain provider must offer full DNS access.

I can absolutely advise you on the best providers and also check for you if they have a dedicated e-mail included in their packages (an e-mail such as "info@yourdomainname.com", for example), but please bear in mind that buying the domain name/ dedicated e-mail is not part of this service.

To connect your new website to your domain I will need:

  • the name/ website address of the platform used for the domain (such as GoDaddy, Aruba, etc)
  • your exact domain name (eg namesurname.com or .co.uk etc.)
  • your username / e-mail used for login
  • your password for access

You can put all this material in a single "Domain" folder/document.

how should I prepare the material?

Images
For New Websites I will need the final, processed images, possibly with their relative embedded metadata (just fill in the Description Field and the Copyright field in the Info file that you find in the File Photoshop menu, Bridge or Lightroom).
If some images are still out-of-the camera, without postproduction, don’t panic: send them anyway, I will show you how to replace them on your website in the last Coaching session.

If you can, please name all images with the title of your project/other relevant SEO info such as your name, in progressive order (for eg. Title-of-project-Your name-01.jpg.) If you can’t make it, don’t worry: most platforms let you change the name of your images also after uploading, so that you will be able to change only the final ones in a second moment. Remember that the name of your images is one vital factor for SEO!

In any case, please always prepare the images as follows:
format:              JPGS only (no Tiff, Raw, Psd or other formats, please)
resolution:        1500px - longer side
color profile:     sRGB

For processing all images at once you can easily do it with a batch action in Photoshop or (even easier!) from the Export panel in Lightroom, see image here below:
